The Reformer Lounge – Terms & Conditions (Updated 2025 Version)

GENERAL INFORMATION

By attending any session with The Reformer Lounge, you confirm you have read, understood, and agree to the following Terms & Conditions.

All sessions are conducted by qualified, insured professionals. Please be honest about your health and any medical conditions.

BOOKING & PAYMENT

All bookings must be made and paid for in advance via our website or approved booking system.

Payments are non-refundable except under extenuating circumstances and at the discretion of The Reformer Lounge.

  • Bookings are non-transferable unless agreed in advance.

  • Payment confirms your acceptance of these Terms & conditions.

  • The studio does not accept cash as a form of payment. 

WAITLISTS​

  • If a class is full, you may join a waitlist and will be notified via email or phone if a space becomes available.

  • Bookings require sufficient credits or payment.

  • There is space for 4 people on the waitlist.

DISCOUNT CODES

  • When using a discount code they shall be subject to additional terms and conditions, which we will make you aware of at the time of use.

  • Discount codes may only apply to certain classes & packs and we will set this out in our applicable promotional communications.

  • In the event that classes booked using a discount code are cancelled, the relevant class will be cancelled in accordance with the Terms.

  • We reserve the right to end or withdraw any Discount Code without warning at any time; 

  • We also reserve the right to withdraw your right to use any Discount Code if we consider, in our absolute discretion, that you have abused, misused or gained an unfair advantage in respect of the Discount Code.

  • Additionally, we reserve the right to not fulfil any future class bookings made by any customer found to have abused, misused or gained an unfair advantage in respect of the discount.

CANCELLATIONS & MISSED CLASSES

  • Cancellations must be made at least 24 hours before the session to avoid being charged in full.

  • Cancellations made within 24 hours are non-refundable. Failure to attend a booked class without prior cancelation will result in the class being deducted. 

  • If you are late, the session will still end at the scheduled time. Sessions missed entirely are non-refundable.

  • If a session is cancelled by The Reformer Lounge, you will be offered a rescheduled time or a full refund.

  • Refunds will not be issued for late cancellations or no-shows.

  • Refunds for medical reasons may be considered at our discretion and must be supported by official documentation.

  • Refund requests should be sent to lisa@reformerlounge.com and will be reviewed within 7 working days.

 LATENESS POLICY

  • Customers arriving more than 5 minutes late will not be admitted for safety and courtesy reasons and will forfeit the class.

  • You will not be entitled to a refund.

CLASS PACKS 

By purchasing a class pack at The Reformer Lounge, you agree to the following terms and conditions:

  • Class pack validity. Each class pack has a specific expiration date, which will be displayed at the time of purchase. Unused classes will not be refunded or extended beyond this expiration date. 

  • Class packs are non- transferable and cannot be shared with other individuals. 

  • Cancelations made within 24 hours of the scheduled class will result in the class being deducted from the pack. 

  • Class packs are non refundable unless required by law. 

  • Class packs cannot be exchanged for other products or services.

HEALTH & MEDICAL CONDITIONS

  • You must disclose any injuries, illnesses, medical conditions, or if you are pregnant before participating.

  • Participation is at your own risk. You agree that you are fit and well enough to undertake physical activity.

  • Please consult your GP or specialist before attending if you have any health concerns.

  • You must inform us of any changes in your health status before each session.

  • It is your responsibility to ensure you are medically fit to participate in Reformer Pilates classes. If in doubt, please consult your GP.

  • By accepting these terms, you confirm that you have informed the studio of any injuries, medical conditions or recent changes to your health. 

  • You must inform your instructor immediately if you experience any discomfort during class. 

PREGNANCY POLICY

  • We do not offer sessions to clients in their first trimester of pregnancy.

  • After the first trimester, sessions may be available on a case-by-case basis with prior written consent from your GP or midwife.

  • You must inform your instructor if you become pregnant during your training programme.

  • Post - natal: After 6-8 week GP / midwife check, you may return with a one to one first before progressing back into group classes. 

ELIGIBILITY & ACCOUNTS

  • You must be 18 or older to create an account and book classes.

  • Account holders are solely responsible for bookings under their account. Class packs, & single classes.

OSTEOPOROSIS & SPINAL CONDITIONS

  • If you have been diagnosed with Osteoporosis or Osteopenia, participation is only permitted with prior written medical clearance.

  • Certain movements and exercises will be adapted or excluded based on your condition.

  • The Reformer Lounge reserves the right to refuse service if your condition puts you at risk.

BEHAVIOUR & CONDUCT

  • Clients must treat instructors and other clients with respect and courtesy.

  • Any abusive, unsafe, or inappropriate behaviour will result in the session being terminated immediately without refund.

  • The Reformer Lounge reserves the right to refuse service if behaviour is deemed inappropriate or disruptive.

 

DRESS CODE

Please wear appropriate clothing (no zips) and grippy socks. Remove footwear before entering the studio.

 

SAFETY & HYGIENE

  • Clients with foot infections (e.g., verruca) must not be barefoot in the studio.

  • Smoking is prohibited.

  • Follow all safety instructions and complete required waivers before attending.

 

COVID-19

We accept no liability for any COVID-19 related loss or injury except as required by law

USE OF EQUIPMENT & PROPERTY

  • Clients must follow all instructor guidance when using the Reformer and any other equipment.

  • Do not attempt unfamiliar exercises without supervision.

  • You are responsible for your belongings. We are not liable for lost, stolen, or damaged personal items.

FORCE MAJEURE

  • We shall not be liable for cancellation or failure to deliver services due to circumstances beyond our control, including but not limited to natural disasters, acts of God, strikes, pandemics, or government restrictions.

PHOTOGRAPHY & SOCIAL MEDIA 

  • From time to time, we may wish to capture photographs or short video clips during classes or events for use on our website, social media platforms or other promotional materials.

  • We understand and respect your right to privacy. We will always verbally ask for your consent before filming or photographing any class. No images or footage will be taken or shared without permission. 

  • If you do not wish to be included in any media, please let us know at the time, we will always honour your preference without question. 

  • By attending our sessions you acknowledge that you may be present when photography or filming takes pace but participation is always optional.

VIRUES
We do not guarantee that our site will be secure or free from bugs or viruses. You are responsible for configuring your computer, computer programmes and platform in order to access our website. You should use your own virus protection software.

You must not misuse our site by knowingly introducing viruses, trojans, worms, logic bombs or other material which is malicious or technologically harmful. You must not attempt to gain unauthorised access to our site, the server on which our site is stored or any server, computer or database connected to our site. You must not attack our site via a denial-of-service attack or a distributed denial-of service attack.

By breaching this provision, you would commit a criminal offence under the Computer Misuse Act 1990. We will report any such breach to the relevant law enforcement authorities and we will co-operate with those authorities by disclosing your identity to them. In the event of such a breach, your right to use our site will cease immediately.

DATA PROTECTION & PRIVACY

  • Your personal information is handled in accordance with GDPR and our Privacy Policy.

  • We only collect and use your data for booking, communication, and safety purposes. We do not sell or share your data with third parties.

COMPLAINTS PROCEDURE 

  • We aim to provide a high-quality experience. If you are dissatisfied, please email lisa@reformerlounge.com

  • All complaints will be acknowledged and responded to within 7 working days.

LIABILITY WAIVER

  • By participating in any session, you confirm that you understand the nature of the activity and accept full responsibility for any risks involved.

  • The Reformer Lounge and its instructors are not liable for any injury or loss sustained during a session unless caused by proven negligence.

GOVERNING LAW

  • These Terms & Conditions are governed by the laws of England and Wales.

  • Any disputes arising shall be subject to the exclusive jurisdiction of the English courts.

By booking a session, you confirm that:

  • You have read and understood these Terms & Conditions.

  • You accept responsibility for your health and safety.

  • You give consent for The Reformer Lounge to provide services under the above terms.
